Pilot Technologies LLC ("Pilot," "we," "us," or "our") operates the Pilot mobile application. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our app and services. By using Pilot, you agree to the practices described here.

Information We Collect
2.1 Information You Provide Directly
- Account information: first and last name, email address, phone number, and password when you register.
- Plan preferences: your selected coverage plan (7-day or 30-day) and location (zip code or National Average selection).
- Payment information: processed by Stripe. We do not store your full card number or bank account credentials.
- Communications: messages you send us through support channels.
2.2 Information Collected Automatically
- Device information: device type, operating system version, and unique device identifiers.
- Usage data: screens viewed, features used, session duration, and in-app actions.
- Transaction data: fuel purchase records detected via your linked bank account (post-launch feature), reimbursement amounts, and claim history.
- Location data: your selected coverage zip code. We do not collect real-time GPS location.
2.3 Information From Third Parties
- Stripe: subscription status, billing history, and payment confirmation data.
- Twilio: SMS delivery confirmation for phone number verification.
- Bank connection provider (post-launch): transaction data from your connected bank account, limited to fuel purchase detection. Exact provider TBD.

How We Use Your Information
We use the information we collect to:
- Create and manage your account and coverage plan.
- Calculate your budgeted rate based on your selected location and rolling price window.
- Detect qualifying fuel purchases and process reimbursements to your account.
- Send you SMS verification codes, coverage notifications, and renewal reminders.
- Process subscription billing and manage your payment relationship via Stripe.
- Respond to your support requests and communicate with you about your account.
- Improve, analyze, and develop the Pilot app and its features.
- Comply with applicable laws, regulations, and legal obligations.
- Detect and prevent fraud, abuse, and unauthorized account access.

Sharing Your Information
We do not sell your personal information. We share data only in the following circumstances:
4.1 Service Providers
We share information with trusted vendors who help us operate Pilot, including:
Third-Party Services
- Stripe — payment processing and subscription management.
- Supabase — database hosting and user authentication.
- Twilio — SMS verification and notifications.
- Google Cloud — receipt OCR processing (image data is not retained after processing).
- Vercel — backend API hosting.
- Bank connection provider (post-launch, TBD) — transaction retrieval.
These providers are contractually obligated to use your data only to provide services to us.
4.2 Legal Requirements
We may disclose information if required by law, court order, or government authority, or to protect the rights, property, or safety of Pilot, our users, or the public.
4.3 Business Transfers
If Pilot Technologies LLC is acquired, merged, or sold, your information may be transferred as part of that transaction. We will notify you via email or in-app notice before your data is transferred and becomes subject to a different privacy policy.
Section 5
Data Retention
We retain your personal information for as long as your account is active or as needed to provide you services. Specifically:
- Account data is retained for the duration of your subscription and for a reasonable period thereafter for legal and business record-keeping purposes.
- Transaction and claim records are retained for a minimum of 5 years to satisfy financial recordkeeping obligations.
- Verification data (OTP logs) is retained for a short period for security auditing purposes.
You may request deletion of your account and associated data at any time. For detailed information on what data is deleted and the applicable timelines, see Section 6 (Account Deletion).
Section 6
Account Deletion
You may request deletion of your Pilot account at any time by emailing support@fuel-pilot.com with the subject line “DELETE ACCOUNT.” Upon receiving and verifying your request, we will process the deletion of your data as follows:
6.1 Data Deleted Immediately
The following data is permanently deleted upon processing your deletion request:
- Account credentials (email, password, and authentication session).
- Profile information (name, phone number, zip code, and region).
- Stripe customer and subscription identifiers.
- Referral code and referral records.
- Pending plan switches.
6.2 Data Deleted Within 30 Days
The following data is deleted within 30 days of your request:
- Coverage period history.
- Transaction and fill-up records.
- Receipt images and OCR data.
6.3 Data Retained for Legal and Financial Compliance
The following data may be retained for up to 12 months after account deletion to satisfy tax, accounting, and financial compliance obligations:
- Billing and payment records.
- Reimbursement records.
After the applicable retention period expires, this data will be permanently deleted.
Section 7
Security
We implement industry-standard security practices to protect your information, including:
- Encrypted storage of authentication tokens via secure device storage.
- HTTPS/TLS encryption for all data transmitted between the app and our servers.
- Role-level security on our database to prevent unauthorized cross-user data access.
- Restricted API key scopes for all third-party service integrations.
No method of transmission or storage is 100% secure. If you become aware of any security concern related to your account, contact us immediately at legal@fuel-pilot.com.

Your Rights and Choices
8.1 Access and Correction
You may review and update your account information within the Pilot app. For data not accessible in-app, contact us at legal@fuel-pilot.com.
8.2 Deletion
You may request deletion of your personal information at any time. Note that we may retain certain data as required by law or for legitimate business purposes (e.g., transaction records).
8.3 California Residents (CCPA)
If you are a California resident, you have the right to: (a) know what personal information we collect, use, and share; (b) request deletion of your personal information; (c) opt out of the sale of personal information (we do not sell personal information); and (d) non-discrimination for exercising your rights. 8.4 Marketing Communications
You may opt out of promotional emails at any time by using the unsubscribe link in any such email. Transactional and account-related communications (e.g., renewal reminders, claim confirmations) are necessary for the service and cannot be opted out of while your subscription is active.
Section 9
Children's Privacy
Pilot is not directed at children under the age of 13, and we do not knowingly collect personal information from anyone under 13. If we learn that we have collected personal information from a child under 13, we will delete it promptly. Contact us at legal@fuel-pilot.com if you believe we have inadvertently collected such information.
Section 10
Third-Party Links and Services
Pilot may include links to third-party websites or integrate with third-party services (e.g., Stripe's payment portal). This Privacy Policy does not apply to those third-party services. We encourage you to review the privacy policies of any third-party services you use in connection with Pilot.

Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by updating the effective date at the top of this policy and, where appropriate, by sending you an in-app or email notification. Your continued use of Pilot after any changes constitutes acceptance of the updated policy.
